THE PROBLEM

Decentralized teams lose hours and costs between tools, contracts, and timezones.

Remote work distributes the team. It also distributes their time data across tools, messages, and contracts that were never designed to work together. The consolidated picture only shows up at the end of the month, too late to act on it.

track progress

Scattered hours

When your team doesn't work from the same place, there's no walkthrough that tells you if things are moving.
Hours get logged in different apps, in messages, in spreadsheet, or not at all.

Performance insights

Split workforce

Employees have a payroll cycle. Contractors send invoices. Reconciling both against actual project hours takes manual effort every month, and there's no easy way to verify what was actually worked before you pay.

on time

Invisible costs

When part of your team is on salary and part invoices by the hour, the real cost of a project stays unknown until the final invoice arrives. There's no running total, no early warning, and no chance to course-correct before the work is done.

WHAT TO TRACK

Six things you need to manage a decentralized team.

Decentralized teams need more than a timer. They need a system that covers employees and contractors, captures hours automatically, and keeps costs and approvals in one place. These are the six capabilities that make that possible.

Hours by project and person

See every hour logged by everyone on your team, employees and contractors alike, organized by project, person, or date range. No spreadsheet, no manual aggregation.

Cost rates by role

Assign a cost rate to each team member regardless of their contract type. We calculate running project cost automatically as hours are logged, so the number is always current.

Contractor project access

Add contractors as project collaborators with access restricted to the work you assign them. They track their hours in the same system. You see everything. They see only what’s theirs.

Approval before payment

Review and approve hours before closing payroll or approving a contractor invoice. Approved entries are timestamped and locked, so there’s no ambiguity about hours when payment is due.

Automatic time capture

AutoTrack detects active work and suggests time entries automatically. The browser extension works from inside the tools the team already uses. Adoption is built on convenience, not rules.

Time cards and PTO

Employees log work hours, absences, and time off in the same system where contractors track project hours.
One source of truth for the whole team, regardless of contract type.

Remote Team Visibility

One system for your whole team, wherever they are and however they work.

Team visibility built for decentralized operations.

TrackingTime brings your whole team's time data into one place from the moment it's recorded. Employees, contractors, and managers all work from the same dataset. Each person sees the level of detail that matches their role.

Your team logs hours from the tools they already use. Those hours flow into the same project reports, cost calculations, and approval queues without manual consolidation. Less time spent chasing data at the end of the month.

Unified team timesheets

Filter time entries by project, person, contract type, or period. Employee hours and contractor hours appear together in the same view, sorted and ready for cost calculation or payroll review. You close the month faster because the data is already consolidated at the source.

Running project cost

See the real cost of every active project updated automatically as hours are logged. Cost rates apply per person regardless of contract type. Spot budget overruns before the project closes, not after the final invoice arrives.

Approval before payment

Review and approve hours by person and period before payroll runs or contractor invoices are paid. Approved entries are timestamped and locked. You pay for verified hours every time, with a record tied to each payment.

Access controlled by role

Managers see the full team. Contractors see only their assigned projects. Employees see their own work. Nobody has access to data outside their scope, and you configure visibility per project and per role without a complex permission setup.

Give everyone who needs time data access to the right level of detail. Employees, contractors, and managers all work from the same verified dataset, with visibility scoped to their role.

BEFORE AND AFTER

Scattered hours vs. one operational picture.

When a team is spread across locations and contract types, the gap between what’s being worked on and what you can see grows by default. TrackingTime closes that gap without changing how the team works.

Before TrackingTime

  • Hours logged in different apps, messages, or not at all
  • Contractor hours unknown until the invoice arrives
  • Project cost calculated manually at month end
  • Payroll requires cross-referencing multiple sources
  • No way to know if the project is on track without asking everyone

After TrackingTime

  • All hours in one place, updated in real time
  • Contractor hours visible as they work, validated before payment
  • Project cost tracked automatically as hours are logged
  • Payroll and invoice approval from a single verified source
  • Project status visible without a status meeting

The difference isn’t just cleaner data. It’s knowing where every project stands and what it costs before the month closes, without asking anyone.

REMOTE OPERATIONS

Built for teams that don’t share a desk.

TrackingTime fits into the setup your team already has. Employees, contractors, and managers each get the access and tools that match their role, with no shared office and no single tool required for everyone.

Works from any tool or device

The browser extension and AutoTrack cover employees working from home or any other location. The mobile app covers work away from a desk.
Each team member uses what fits their workflow. No single setup required for everyone.

Contractors are up and running in minutes

Invite a contractor to a specific project. They create a free account, see only their assigned work, and start logging hours. Their time appears in your project reports alongside your team’s, with no access to anything else in your workspace.

Employee schedules and PTO alongside project hours

Define work schedules, manage time off requests, and track absences for your employees, all within the same system where contractors log project hours. Everything in one place, separated by role and access level.

Get a clear picture of your remote team's hours and costs, wherever they work.

FAQ

Frequently Asked Questions

Get answers to all your questions about our service and plans.

How do I add contractors to TrackingTime without giving them access to my whole workspace?

Contractors are invited as project collaborators and only see the projects you assign to them. They have no access to other projects, other team members’ data, or any workspace settings. You control exactly what each person can see.

Can I use TrackingTime if my team is entirely employees, entirely contractors, or a mix of both?

Yes. TrackingTime works for any combination. Employees use standard team accounts with time cards, PTO, and work schedules. Contractors use project collaborator access with no exposure to the rest of your workspace. Both appear in the same project reports.

What if my remote team won’t track time consistently?

AutoTrack detects active work and suggests time entries automatically, so manual input is minimal. The browser extension works from inside the tools the team already uses like Slack, Notion, Asana, Google Workspace, without requiring a separate app. There’s nothing new to learn.

How does tracking work for people in different timezones?

Team members log hours in their own local time. Reports show entries with their recorded timestamps, and you can filter by date range regardless of where each person is located.

Is this employee monitoring software?

TrackingTime does not capture screenshots, keystrokes, mouse activity, or screen recordings. Team members log their own time. You see what was worked on and how long it took. For remote teams where trust is part of the working relationship, that distinction matters.

Can team members see each other’s hours?

That is controlled by roles and permissions. By default, team members see their own hours. Managers and owners see the full picture. You can configure visibility per project and per role.

How does payroll work when some people are employees and others are contractors?

Employees have timesheets and time cards that feed your payroll process. Contractors have project-level hour logs that you review and approve before their invoices are paid. Both live in the same system but produce separate outputs for your finance workflow.

Can I approve contractor hours before paying their invoice?

Yes. The approval workflow lets you review hours by person and period, approve or request corrections, and close the cycle with a timestamped record. Once approved, entries are locked and tied to each payment.

How do I see the real cost of a project when part of the team is on salary and part invoices by the hour?

Set a cost rate for each person, employees and contractors alike. TrackingTime calculates the running cost of every project as hours are logged. You can see total cost by project, by person, or by period at any time, before the final invoice arrives.

Can I use TrackingTime without setting up cost rates?

Yes. Cost rates are optional. If you only need to track hours and see who is working on what, TrackingTime works as a time log with no financial configuration required. You can add rates later when you need cost visibility.
